This Privacy Notice for Clayton Wiedemeier (doing business as Minerva) ("we," "us," or "our"), describes how and why we access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:

  • Join our waitlist through the form on our website
  • Download and use our mobile application (Minerva) or our Mac application, or any other application of ours that links to this Privacy Notice

A note on where Minerva is today. Minerva is a pre-public product in a free, invitation-only beta. It is not generally available, there is no paid plan, and we do not process any payments. This notice describes how we handle data in that beta — and how we handle the information of visitors to our website, including people who join the waitlist.

Questions or concerns? Reading this Privacy Notice will help you understand your privacy rights and choices. We are responsible for making decisions about how your personal information is processed. What personal information do we process? When you use Minerva, we process the voice recordings you make, the transcripts and the tasks, events, and notes we create from them, the answers you give when Minerva asks you a question, your account and sign-in information, your contact email, and your device's push-notification token. If you visit our website and join the waitlist, we process the information you submit in the form: your name, your email address, and — if you choose to share them — what you'd use Minerva for and which platforms interest you. Do we process any sensitive personal information? We process voice recordings, which some laws treat as sensitive because of what a person may say in them. We do not deliberately seek out or require special-category information such as racial or ethnic origin, sexual orientation, or religious beliefs, and we do not create voiceprints or use voice-recognition to identify you.

Do we collect any information from third parties? When you sign in with Google or Apple, we receive limited profile information (such as your name and email address) from that provider so we can create and secure your account. We do not buy or otherwise obtain your personal information from data brokers or other outside sources.

How do you sign in? With your existing Google or Apple identity. There is no password: Minerva never sees, handles, or stores one. Learn more in Section 1.

Do we use your content to train AI? No. We do not use your recordings, transcripts, or notes to train AI models, and we do not sell or share them for advertising. See Section 6.

How do we process your information? We process your information to provide the Service — transcribing your recordings and turning them into tasks, events, and notes in the apps you already use — to secure your account, to communicate with you about the Service, and to comply with law. In what situations and with which parties do we share personal information? To make Minerva work, your data passes through the service providers that transcribe, organize, store, and deliver it — OpenAI, Anthropic, Google, Notion, and Apple. Learn more in Section 4.

How do we keep your information safe? We use reasonable organizational and technical measures to protect your personal information. No system is 100% secure, so we cannot guarantee absolute security. Learn more in Section 9.

What are your rights? Depending on where you live, you may have rights over your personal information. Learn more in Section 11.

1.WHAT INFORMATION DO WE COLLECT?

Personal information you provide to us

In Short: We collect the recordings you make and the information needed to turn them into filed items and to run your account.

The personal information we collect depends on how you interact with Minerva. It includes:

  • Voice recordings — the audio memos you record. This is the raw input Minerva works from; it must be transcribed to text before anything can be done with it.
  • Transcripts — the text produced from each recording, so Minerva can read the memo and pull out tasks, events, and notes.
  • Extracted item text — the tasks, events, and notes we identify in a transcript, which are then filed into the apps you connect.
  • Context answers — the short answers you give when Minerva asks a clarifying question (for example, supplying a missing time or a name), used to complete an item before it's filed.
  • Account and sign-in information — a per-user account identity that lets Minerva work on your behalf. You sign in with your existing Google or Apple identity. There is no password — Minerva never sees, handles, or stores one. When you sign in with Google or Apple, we receive basic profile information such as your name and email address from that provider. When you use Google sign-in, you also grant the authorization that lets Minerva work with your Google services (see Connected-app access below). (A passwordless email sign-in link is built and may be offered in the future; if we enable it, we will update this notice.)
  • Contact email — the email address associated with your account and used to reach you about the Service.

Sensitive information. Voice recordings may contain whatever you choose to say, which is why some laws treat them as sensitive. We do not require or intentionally collect special-category information (such as racial or ethnic origin, sexual orientation, or religious beliefs), and we do not create voiceprints or use voice-recognition technology to identify you.

Payments. We do not process payments. Minerva is currently a free beta with no paid plan, so we do not collect card numbers, billing addresses, or other payment information.

Information you provide on our website (the waitlist)

In Short: If you join the waitlist, we collect what you type into the form — your name and email, plus anything optional you choose to share.

When you join the waitlist at talktominerva.com, we collect:

  • Your name and email address — so we can tell you when Minerva is available and contact you about early access.
  • What you'd use Minerva for (optional) — a free-text answer that helps us understand what people want from Minerva.
  • Which platforms interest you (optional) — checkboxes (iOS, Android, Mac, Windows, browser) that help us decide what to build and open up first.

Waitlist submissions are delivered to us by Formspree, a form-processing service that receives what you submit and passes it to us. Formspree acts as a processor on our behalf; we do not use the waitlist to send you anything except word about Minerva, and we do not sell or share the list.

Information collected automatically on our website

Like most websites, the infrastructure that serves talktominerva.com records basic technical logs — such as your IP address, browser type, and the pages requested — as a routine part of delivering and securing the site. We use these logs to keep the site running, reliable, and secure, not to build a profile of you.

We also use cookies and similar technologies to measure how the website is used, so we can improve it. Today that means a privacy-respecting, cookieless analytics tool (Cloudflare Web Analytics) that reports aggregate traffic without building an individual profile of you. We may add other standard analytics or measurement tools in the future. See Section 5 for details and how to control tracking technologies.

Information from your device

If you use our application(s), we may also collect the following if you grant permission:

  • Microphone access — needed to record your voice memos. You control this in your device settings.
  • Device push token — an identifier that lets a notification reach your specific iPhone, Apple Watch, or Mac. We use it to deliver Minerva's questions and updates to your device. You can turn push notifications off in your device settings.
  • Connected-app access — with your authorization, Minerva accesses your own Google Drive (to store recordings and transcripts), Google Tasks and Google Calendar (to file items), and your Notion (to file notes). You can revoke this access at any time from your Google or Notion account settings.

Google API

Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

2.HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide the Service, to secure your account, to communicate with you about the Service, and to comply with law.

We process your personal information for the following purposes:

  • To provide the Service. To transcribe your recordings, identify the tasks, events, and notes within them, ask you clarifying questions when something is ambiguous, and file each item into the apps you have connected.
  • To create and manage your account. So you can sign in and keep your account in working order, and so each user's data stays separate.
  • To communicate with you about the Service. To send you Minerva's clarifying questions and updates, and to respond to your requests and support inquiries.
  • To run the waitlist. To record your interest in Minerva, understand which platforms and uses matter most to the people waiting, and email you when Minerva (or a platform you asked about) becomes available.
  • To keep the Service secure. To protect your account and our systems, including detecting and preventing abuse and fraud.
  • To comply with law. Where we are legally required to process or retain information.

We do not use your information for targeted advertising, and we do not sell it.

3.WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

In Short: We only process your personal information when we have a valid legal reason to do so.

If you are located in the EU or UK, this section applies to you.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on to process your personal information. We may rely on the following:

  • Consent. We may process your information where you have given us permission to do so for a specific purpose. You can withdraw your consent at any time.
  • Performance of a contract. We may process your information to provide the Service you have asked us to provide.
  • Legitimate Interests. We may process your information where it is reasonably necessary to operate, secure, and improve the Service, provided those interests do not override your rights.
  • Legal Obligations. We may process your information where necessary to comply with our legal obligations.
  • Vital Interests. We may process your information where necessary to protect someone's vital interests.

If you are located in Canada, this section applies to you. We may process your information where you have given us express or implied consent, and you can withdraw that consent at any time. In limited cases, applicable law may permit processing without consent (for example, to investigate a breach of an agreement, to detect and prevent fraud, or where required by law).

4.WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: To make Minerva work, your data passes through the service providers listed below. We do not sell your personal information.

Minerva relies on a small number of third-party service providers ("subprocessors") to deliver the Service. Each receives only the data needed for its role:

We may also share information in the following situation:

  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

We do not sell your personal information, and we do not share it for targeted advertising.

5.DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We use cookies and similar technologies to keep the website working and to measure how it is used. Today our only analytics is a privacy-respecting, cookieless tool, and you can control cookies through your browser settings.

We and our service providers use cookies and similar technologies — such as web beacons and pixels — on talktominerva.com. We use them for two purposes:

  • Essential and functional. To keep the website running, reliable, and secure, and to remember basic preferences. The site needs these to work properly.
  • Analytics and measurement. To understand how visitors use the site — for example, which pages are viewed and roughly how many people visit — so we can improve it. Today we use Cloudflare Web Analytics, a privacy-respecting, cookieless tool that reports aggregate traffic without setting cookies or building a profile of you. We may add other standard analytics or measurement tools in the future.

Advertising. We do not currently use advertising, marketing, or attribution pixels on our website. If we introduce them in the future, we will update this notice and, where the law requires it, ask for your consent first.

How to control cookies. Most browsers let you block or delete cookies and similar technologies through their settings. If you block essential cookies, parts of the website may not work as intended. See also Section 11 on Do-Not-Track signals.

6.DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?

In Short: Yes — Minerva uses AI to transcribe and organize your recordings. We do not use your content to train AI models.

As part of our Services, we offer features powered by artificial intelligence ("AI Products"). We provide these through third-party AI service providers, including OpenAI (for transcription) and Anthropic (for organizing your words into tasks, events, and notes). To use these features, your input and the resulting output are shared with and processed by those providers. You must not use the AI Products in any way that violates the terms or policies of any AI service provider.

Our AI Products are designed for:

  • AI transcription (turning your recording into text)
  • AI organization (identifying the tasks, events, and notes within your words)

AI and Model Training

We do not use your recordings, transcripts, or notes to train any artificial intelligence models, and we do not sell or share them for advertising. To transcribe and organize your notes, we send them to our AI service providers — OpenAI (for transcription) and Anthropic (for organizing your notes into tasks, events, and notes) — through their commercial APIs. By default, these providers do not use data submitted through their APIs to train or improve their models, and we do not opt in to any data-sharing or model-training program. These providers may retain data for a limited period (for example, up to 30 days) solely to detect and prevent abuse, after which it is deleted.

7.HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: Minerva holds your audio only for the moment it takes to transcribe it. Your recordings and transcripts then live in your own Google Drive, under your control; the tasks, events, and notes Minerva creates from them stay tied to your account until you delete them or close your account.

Different parts of your data are kept in different places, for different lengths of time:

  • Your recordings. When you upload a recording, Minerva's cloud service downloads a working copy only for the brief moment it takes to transcribe the audio, and deletes that working copy immediately afterward. Minerva keeps no separate long-term copy of your audio on its own servers. The recording itself is moved into a "processed" folder inside your own Google Drive, where it stays under your control until you delete it.
  • Your transcripts. The text transcript Minerva produces from each recording is saved into that same folder in your own Google Drive, and likewise stays there under your control until you delete it.
  • Your tasks, events, and notes. The items Minerva extracts from your recordings are filed into the apps you have connected (such as Google Tasks, Google Calendar, and Notion) and are also kept in Minerva's own database, tied to your account, which is what lets Minerva keep them consistent across your devices. These are kept until you delete them or close your account.
  • Our AI providers. As described in Section 6, the AI providers that transcribe and organize your words retain data sent through their APIs only for a limited period (for example, up to 30 days) to detect and prevent abuse, after which it is deleted — and they do not use it to train their models.
  • Waitlist information. We keep your waitlist submission until Minerva launches and you've been invited, or until you ask us to remove you — whichever comes first. You can leave the waitlist at any time by emailing [email protected].

We keep the information described above only for as long as necessary to provide the Service, unless a longer retention period is required or permitted by law.

When we no longer have a legitimate need to process your personal information, we will either delete or anonymize it, or, if that is not possible (for example, because it is stored in backups), we will securely store it and isolate it from further processing until deletion is possible.

8.HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We use reasonable organizational and technical measures to protect your information.

We have implemented reasonable technical and organizational security measures designed to protect the personal information we process. However, no electronic transmission or storage system is 100% secure, so we cannot promise or guarantee that unauthorized third parties will never be able to defeat our security. Transmission of personal information to and from our Services is at your own risk, and you should only access the Services within a secure environment.

9.DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of such a minor and consent to their use of the Services. If we learn that we have collected personal information from a user under 18, we will deactivate the account and take reasonable measures to promptly delete that data. If you become aware of any data we may have collected from a child under 18, please contact us at [email protected].

10.WHAT ARE YOUR PRIVACY RIGHTS?

In Short: Depending on where you live, you may review, change, or delete your information, and you may terminate your account at any time.

In some regions (such as the EEA, UK, Switzerland, and Canada), you have rights under applicable data protection laws. These may include the right (i) to request access to and a copy of your personal information, (ii) to request correction or deletion, (iii) to restrict processing, (iv) where applicable, to data portability, and (v) not to be subject to solely automated decision-making. You can make a request by emailing us at [email protected].

We will consider and act upon any request in accordance with applicable data protection laws.

If you are located in the EEA or UK and believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection authority. If you are in Switzerland, you may contact the Federal Data Protection and Information Commissioner.

Withdrawing your consent. If we are relying on your consent to process your personal information, you have the right to withdraw it at any time by contacting us. This will not affect the lawfulness of processing done before the withdrawal.

Account information. You can review or change your account information in the app's settings at any time. To request deletion of your account and information, email us at [email protected]. Upon your request, we will deactivate or delete your account and information from our active systems, though we may retain some information to comply with legal obligations, prevent fraud, or resolve disputes.

11.CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems include a Do-Not-Track ("DNT") feature. Because no uniform industry or legal standard for recognizing DNT signals has been finalized, we do not currently respond to DNT browser signals. If a standard is adopted in the future, we will inform you in a revised version of this Privacy Notice.

12.DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of certain US states, you may have rights to access, correct, delete, or obtain a copy of your personal information.

We retain each category of personal information as described in Section 7: the working copy of audio used for transcription is deleted immediately after processing; your recordings and transcripts live in your own Google Drive under your control; and the tasks, events, and notes we extract are kept in your account until you delete them or close your account.

Will your information be shared with anyone else? We share your information with the service providers described in Section 4, each under a contract limiting their use of it. We have not sold or shared personal information for targeted advertising in the preceding twelve (12) months, and we will not sell or share your personal information for such purposes.

Your Rights. Depending on your state of residence, you may have the right to know whether we process your personal data, to access it, to correct inaccuracies, to request its deletion, to obtain a copy of it, and not to be discriminated against for exercising these rights. To exercise these rights, email us at [email protected]. We will verify your identity before acting on your request. If we decline to act, you may appeal by replying to our decision; if your appeal is denied, you may contact your state attorney general.

13.DO OTHER REGIONS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: You may have additional rights based on the country you reside in.

Australia. We collect and process your personal information under Australia's Privacy Act 1988. You have the right to request access to or correction of your personal information by contacting us at [email protected]. If you believe we are unlawfully processing your personal information, you may complain to the Office of the Australian Information Commissioner.

14.DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Last updated" date at the top of this Privacy Notice.
